Start at the ceremony and walk backward

The ceremony time is fixed. Photographs of the couple with flowers happen before it. Personals therefore have to be delivered before that, wherever the people are getting ready, which is frequently not the venue. Ceremony flowers have to be installed and finished before guests arrive, which is earlier than the ceremony time by however long the venue lets people in.

1. Fix the ceremony time and the guest arrival time.
2. Work back to when the ceremony install must be complete, which is guest arrival, not ceremony start.
3. Work back through the install itself to when you must be on site and unloaded.
4. Separately, work back from when photographs start to when personals must be delivered, at a different address.
5. Work back through the drive, the load, and the last build steps to the hour you start.
6. Then handle the reception space, which frequently cannot be accessed until the ceremony has begun.

Two of those steps happen at the same time in different places, which is the structural reason a wedding of any size stops being a one person job even when the flower work is modest.

What reliably eats the buffer

The buffer is not consumed by the flowers. It is consumed by the building and the people in it.

• Access: the door that was supposed to be open, the lift that is being used by catering, the loading bay that belongs to somebody else.
• Sharing the room. Rentals, catering, lighting, and the venue's own team are all in the same window and some of them have to finish before you can start.
• Distance inside the venue. Carrying water and product from the only permitted parking spot to the far room takes longer than the drive did.
• Changes on the day, which are usually small and always cost more than they look.
• The reception room being unavailable until guests move out of it, compressing that install into a window with no slack at all.

The other clock

The schedule has a second constraint running underneath it, which is that the flowers are declining the whole time. Finished pieces held cool hold better than finished pieces held in a warm van, and everything built early has to be stored somewhere it will survive.

That is a real limit on how much of the work you can move earlier to buy yourself room. Building further ahead helps the schedule and costs you condition, and where that trade sits depends on the flowers in the recipe.

Strike is part of the job

Somebody has to come back. Whether it is you, whether it is the same night or the next morning, and what happens to the flowers and the hardware are all things to settle in the proposal rather than at eleven at night.

Strike is also where venue damage gets discovered and attributed, which is a good reason to document the condition of what you installed onto when you installed it.
